Hotel Receptionist: Things to be careful upon the Guests’ Check out

Being a guest at a Hotel, you might not be able to truly know that how big responsibility and task as a receptionist has. But in respect of a receptionist there are a lot of things to make sure and yet he/she is still obliged to please the Golden Guests who are standing in front the desk. It is a receptionist’s commitment that the guests will leave the hotel with their best satisfaction that they would like to stay in again next time around.

Especially when you are handling a group check out, you need to be careful so that your salary may not be subtracted! During the first few months of my experience my salary was always subtracted because I forgot to bill on what the Guests consumed from the mini Bar in the hotel room. Or some guests took some souvenirs that we put them for display only were miss-taken by the guests and so on. It is really difficult to be perfect but we can learn something from our mistakes.

If you are handling a group check out, here are some tips so that you won’t be needlessly subtracted in salary.

First of all, try to know the exact time when the group is checking out. Knowing the time will help you from being rush at the last hour. If you know the time beforehand, prepare the folio in advance as much as you could. Check if they have outstanding balance.

Secondly as soon as they leave the room, immediately call to the House Keeping department on duty and let the HK check the final consumption from the Mini Bar as well as some stuffs missing from the Hotel room. For instance, some hotels make a policy that the guest cannot take anything without charge such as towel, slippers, and decoration items. If that is your hotel policy, be mindful on it. Sometimes it is very tempting for the guests to take home some towels! Make sure that the HK check them carefully.

Thirdly, do not hesitate to request the guests to wait for a few moments while you are working on the Bill. But use the most polite to make a request. Look for the leader of the group and deal with him everything. Mostly if it is group checking in the Hotel usually there is one person or a tour guide who leads the group.  

Even if it is an individual traveler, follow the same procedure in processing the check out of the Guest. And most of all, do not forget to leave the best legacy with the guests who are checking out. Remember that they are the best advertisement of the Hotel. It doesn’t matter how well are they treated during their stay, if they are turn off upon the check out, they wouldn’t be coming back and stay at your hotel again. So let them leave with the sweetest and best ever you can serve you can do.
